How to apply to university-wide agreements and networks
On this page, you will find information on how to apply for an exchange through university-wide agreements and networks.
Please note that you are only able to apply using the steps below during an open call for application.
Before you apply
Start planning your application well in advance as it can be time consuming. Start with reading the instructions below and think about where you want go. Read through the list of available places thoroughly, the list also contains important information about language requirements, course restrictions and semester dates at the host universities. The list of available places will be published together with the call for application. You can find all the universities that we have exchange agreements with in the database for all central student exchanges. In the database you can find information about the universities and exchange reports from previous exchange students that you can read for inspiration. Please note that all the universities in the database will not be available in the call for application. You can only apply for an exchange place to the universities that are available in the list.
You are able to choose up to five universities in the application, and it may therefore take a few hours to complete the application. Furthermore, your three primary choices should include a preliminary course selection. You must also inform a student guidance counsellor, international coordinator at your department or the Degree Office about your plans to apply for exchange studies. The time it takes is well worth it as preparation for this exciting journey.
Step 1: Log in to the portal
The application is submitted in the system MoveON and the full application should be made in English. The link to the application portal will be published in the call for application. You log in using your SU-id (university account). There may be different application forms open at the same time in the portal, make sure that you choose the form for application through the university-wide agreements. You can save and continue your application at a later stage as many times as you want during the application period. If you have any issues with the portal, take a screen shot of the page and email email@example.com.
You can only start an application when the call for application is open.
Step 2: Fill in your application and create the mandatory attachments
Complete your application online. Please note that we need to know your name as it appears in your passport.
Make sure that you state an active e-mail address that you check regularly since all communication is made by e-mail. Please notify firstname.lastname@example.org as soon as possible if you change your e-mail after submission.
In the application for exchange studies through university-wide agreements you can choose up to 5 universities and the options should be ranked. Press “priority” to add another university. Put the university you wish to get a nomination to the most as “Priority 1” and so on. You will not increase your chances of getting a nomination by adding a university more than once. Make sure to choose a university that has slots in the list of available places published in the call for application and that you fulfil all the special requirements.
The following documents should be attached in the application as PDF-files.
- Preliminary course selection: Enter your preliminary course selection for the top three universities you have applied to in the template “preliminary course selection” published in the call for application. The ranking must correspond with the electronic application. If the rows are not enough, please fill in the rest of the courses manually. You must find the courses yourself by accessing the university websites. Also, all courses should pertain full-time studies. Please note that the exchange coordinator at your department or a degree officer at the Degree Office must be made aware of your choices beforehand and their name must be included in the document as well as your online application. International Coordinators at Student Services cannot provide counselling regarding your course selection.
- Personal Letter: Motivate and describe the purpose of the exchange. The letter cannot be longer than one A-4 page and shall be written in English. The letter should be addressed to Stockholm University and not the host university. You should motivate your choice of exchange country/university and how it relates to your current studies. Describe in what way you are a good ambassador for your department/university, why you want to participate in an exchange and how it will help you to evolve both academically and personally. Note that you shall only write one letter, no matter of how many universities you apply to.
Make sure to submit your application before the deadline and that you receive a confirmation e-mail. If you haven’t received a confirmation e-mail, check your spam folder before contacting email@example.com. Late or incomplete applications will not be considered. It is your responsibility that the mandatory information is stated correctly and that you submit on time.
Step 3: Await reply
The applications are processed after the applications have closed. The amount of time it takes to process and select applications depends on the number of applicants and which semester they concern.
Decisions on whether you have been accepted or not will be provided by e-mail so make sure to notify Student Services on firstname.lastname@example.org if you change your e-mail. The e-mails often end up in the spam folder so please add email@example.com and firstname.lastname@example.org on your list of safe senders. Also make sure to regularly check your spam folder so that you don’t miss important information.
Step 4: If you have been given an offer– ACCEPT or DECLINE
If you have received an offer, you must accept or decline by answering the message. Consider your reply carefully, but remember to do it in a timely fashion because the place can go to another applicant if you decline in good time.
Step 5: If you have accepted an offer – apply to a host university
If you have accepted an offer for an exchange place, you need to apply to the host university according to their instructions. You will receive information and assistance from either the responsible International Coordinator at Stockholm University or directly from the host university in good time before their deadline. Make sure to follow the instructions carefully and submit your application in good time.
